What is an Electronic Seal

An electronic seal is a digital identifier based on a digital certificate, used to represent a legal entity (such as a company, institution, or organization) and to authenticate the authenticity, integrity, and origin of an electronic document. Functionally equivalent to a traditional company chop or corporate seal, it exists in the form of an encrypted digital signature, enabling identity verification, tamper prevention, and legal traceability.

In Nota Sign, the electronic seal is supported by a legally valid digital signature combined with a visual seal image, ensuring that both the visual appearance and technical encryption clearly demonstrate the signer’s identity and the document’s trustworthiness.

Electronic seals ensure that:

  • The document origin is authentic, and the signer’s identity is verifiable.

  • The content cannot be altered after signing, and the signature record can be independently verified to prevent forgery.

Typical Use Cases

Electronic seals are applicable to various formal electronic documents requiring organizational or corporate-level authentication, including:

  • Business contracts, agreements, authorizations, and quotations;

  • Internal management documents such as approvals, procurement, bidding, and financial reports;

  • Government and institutional documents, administrative approvals, and archival circulation;

  • Overseas business signing, cross-border e-contracts, and international cooperation agreements.

How to Use an Electronic Seal

Using an electronic seal requires a valid digital certificate for identity authentication and encrypted signing. Users can complete the setup and usage through the following steps:

1. Purchase a Digital Certificate

Choose a trusted Certificate Authority (CA) according to your business needs. Once purchased, the certificate can be used for electronic seal signing within Nota Sign.

2. Install and Bind the Certificate

After purchase, the CA digital signature service is automatically installed on the Nota Sign platform. If users already possess a valid certificate, it can be installed and bound directly via the Extension Center without repurchasing.

3. Apply the Electronic Seal for Signing

When signing an electronic document, users can select the corresponding seal.

  • Internal signing: For signers within the same workspace or domain, the system automatically deducts the usage quota based on the number of seal operations.

  • External signing: For external recipients from other domains, the seal usage will be deducted from the recipient’s account quota, without consuming the sender’s digital signature balance.

After signing, the document automatically generates encrypted verification data, allowing users to view the seal details and signature validity directly within Nota Sign.
